Applicant Verification confirms an applicant’s identity before they begin an application.
So you capture a verified, contactable identity up front, reduce duplicate applications, and let applicants resume where they left off instead of starting again.
How Applicant Verification works
Applicants provide their name and email address on the welcome page, then verify their email address using a 6-digit code.
Applicant Verification is enabled by default
To switch it off for particular applications, reach out to your account manager or our support team
What your applicants experience
Enter their full name and email address on the welcome page.
A phone number can also be provided, but this is optional.
Click Apply Now.
Check their email address for a 6-digit verification code.
The code expires after 10 minutes.
Enter the verification code to verify their email address.
Resend code becomes available after 60 seconds.
There are limited verification attempts before a new code is required.
Continue with their application
If an applicant enters the wrong email address
Applicants can correct their details without losing their place. They can:
Close the verification prompt.
Correct their name, email address or phone number.
Request a new verification code.
Requests for new verification codes are rate-limited.
Resuming an existing application
After an applicant verifies their email address, ApplyEasy checks whether they have an unfinished application for the same application form from the last 30 days.
If an application is found, the applicant can:
Resume their existing application.
Continue with a new application.
This helps reduce duplicate applications by giving returning applicants the option to continue an application they have already started.
What Applicant Verification changes for your business
Applicant Verification moves the collection of the applicant’s identity from the end of the application to the beginning.
This means:
Applicant details are captured earlier: You have a name and verified email address even if the applicant does not complete their application.
Duplicate applications can be reduced: Applicants can resume an unfinished application from the last 30 days instead of starting again.
Applicant details can be reused: Captured details can be used in later fields, reducing the need for applicants to enter the same information again.
Email addresses are verified: Applicants must prove they have access to the email address provided before beginning the application.
Previously, ApplyEasy collected the applicant’s details during the declaration step. If an applicant left before reaching this step, their name and email address were not captured.
Pre-filled and saved applications
Pre-filled applications
For pre-filled applications sent from the inbox, you capture the applicant’s details before sending the application.
When the applicant opens the application link, they verify their email address before continuing.
Save and continue later
When an applicant chooses to continue their application later, the resume link is sent to their verified email address.
When they return, they must verify their email address again using a new verification code before continuing the application.
